Job Description

Our client is seeking a highly capable Administrative Assistant to provide crucial clerical and administrative support. The ideal candidate will be a skilled multitasker, possess excellent communication abilities (both written and verbal), and demonstrate a high level of professionalism. This role requires acute attention to detail and the discretion to manage confidential information appropriately.

  • Proficient in office technology and tools, including Canva, Microsoft Word, Excel, Google Workspace, and similar platforms.
  • Skilled in creating mail merges and coordinating mass mailings.
  • Capable of completing tasks independently without established procedures.

Responsibilities:

  • Greet and welcome visitors, providing them access to the facility.
  • Answer and route phone calls, take messages, and maintain call logs.
  • Monitor and manage multiple email accounts.
  • Coordinate room assignments for Center appointments.
  • Manage logistics for food and refreshments during professional meetings.
  • Produce and distribute certificates for Learning Center program participants.
  • Collaborate with team members on organization-wide initiatives.
  • Schedule, adjust, and reschedule appointments as needed.
  • Serve as the note-taker during weekly staff meetings.
  • Complete accurate data entry as required.
  • Review and track intake paperwork to support the evaluation team.
  • Perform additional tasks and responsibilities as assigned.
